Privacy Policy

Updated and effective October 14, 2026

The short version. We collect only what you give us. We never sell your
information — including your phone number. What you give is kept confidential,
what you tell a pastor stays with a pastor, and what we hold about your child
is used only to keep that child safe. You can ask us what we have, and ask us
to correct or remove it.

Believers World Outreach Church (“BWOC,” “the Church,” “we,” “us,” or “our”) is a local church ministry of Burchfield Ministries International, Inc. (“BMI”). BWOC operates websites, mobile applications, child check-in systems, online giving tools, voice systems, and messaging services for the congregation, guests, and ministry participants (collectively, the “Service”).

This Privacy Policy explains how we collect, use, store, and protect personal information when you interact with our Service.

1. Scope of This Policy

This policy applies to all digital properties, communication systems, AI-assisted tools, and platforms operated by or for Believers World Outreach Church, including but not limited to:

  • bwoc.cc and any BWOC subdomain or landing page
  • The BWOC mobile application
  • Online giving and event registration pages
  • Child and youth check-in systems
  • Prayer request, connection card, and contact forms
  • SMS/RCS messaging, voice calls, and voice AI assistants operated on our behalf

BWOC is operated under the corporate and legal umbrella of Burchfield Ministries International, Inc. Information collected by BWOC may be held in BMI systems and is governed by this policy. BMI’s other outreaches (Country Camp, Discovery Camp, Texas Bible Institute, Young Believer’s Broadcast, Signs and Wonders Today, NewCreation.Network, BMI Gift) maintain their own notices.

2. Information We Collect

While using our Service, we may collect personally identifiable information including, but not limited to:

  • Name
  • Email address
  • Mobile phone number
  • Postal address
  • Household and family relationships (including names and ages of minor children you register)
  • Event, class, and camp registration details
  • Small group, serving team, and volunteer participation
  • Giving and donation records
  • Prayer requests and connection card responses you submit
  • Communication preferences

We collect this information when you voluntarily provide it — when you fill out a connection card, register for an event, check a child in or out, give online, request prayer, apply to serve, interact with our AI assistants, or otherwise communicate with us.

Children’s Information

We collect limited information about minors (name, age or grade, guardian contact, allergies and medical notes, authorized pickup persons) only when a parent or legal guardian provides it for child check-in, children’s ministry, youth ministry, or camp registration. This information is used solely for the safety, supervision, and care of the child, and is accessible only to screened ministry leaders with a need to know. We do not knowingly collect information directly from children under 13 online without verifiable parental consent.

Background Checks for Volunteers

Applicants for children’s, youth, or other sensitive ministry roles are asked to consent separately to a background screening. Screening results are handled confidentially by designated staff and are not used for any purpose other than determining ministry suitability.

3. Mobile Phone Numbers, Messaging & Voice Communications

SMS, RCS, and Voice Messaging Consent

We may collect and use your mobile phone number to send you messages you have explicitly requested, including:

  • Service, event, and class confirmations and reminders
  • Child check-in and pickup notifications
  • Requested follow-up information or resources
  • Prayer and pastoral care follow-up
  • Church announcements related to your participation

Messages may be delivered via SMS, RCS (Rich Communication Services), voice calls, or AI-assisted communication systems.

By providing your mobile number on a form, connection card, registration, or verbally during a call, you consent to receive communications for the purposes you requested. Message and data rates may apply. Message frequency varies.

No Sale or Sharing of Phone Numbers

We do not sell, rent, or share mobile phone numbers with third parties or affiliates for marketing or promotional purposes.

Mobile numbers may be shared only with trusted service providers (such as messaging, church management, or voice platforms) solely to deliver communications you have requested.

Opt-Out

You may opt out of SMS or RCS messages at any time by replying STOP to any message, or by contacting the church office. Replying HELP returns contact information. Opting out of text messages does not remove you from essential transactional notices such as child check-in alerts you have specifically enrolled in.

4. Giving and Financial Information

Online giving is processed by secure, PCI-compliant third-party payment providers. BWOC does not store full payment card or bank account numbers on its own servers.

Giving records are maintained for contribution statements, tax reporting, and internal stewardship review. Access to individual giving records is restricted to pastoral leadership, designated finance staff, and the volunteers or auditors required to count, record, or review contributions. We do not publish, sell, or disclose individual giving information, and giving amounts are not used to determine access to ministry, care, or membership.

5. Photography, Video, and Livestream

Worship services, classes, camps, baptisms, and church events are regularly photographed, recorded, and livestreamed. By attending or participating, you understand that you may appear in these recordings, and that BWOC may use them for ministry, archival, and promotional purposes without compensation.

If you do not wish for yourself or your minor child to appear in published photography or video, please notify the church office in writing, and we will make reasonable efforts to honor that request in material we publish.

6. Prayer Requests and Pastoral Confidentiality

Prayer requests submitted to BWOC are shared only as you direct — with pastoral staff, or with a prayer team if you request that. Requests are not published without your permission.

Communications made in the course of pastoral counseling are treated as confidential. Confidentiality may be set aside only where disclosure is required by law — including, without limitation, mandatory reporting of suspected abuse or neglect of a child, elderly, or disabled person, or where there is a credible threat of serious harm to any person.

7. Use of Artificial Intelligence (AI)

BWOC uses AI-assisted technologies, including voice AI and automated messaging systems, to improve communication and responsiveness.

  • AI systems may process conversation content to generate responses or summaries.
  • AI is used as a support tool, not a replacement for pastoral care or human oversight.
  • AI use is disclosed when you are interacting directly with an AI agent.
  • We do not use personal communications to train public AI models.

Pastoral counseling, prayer requests, and benevolence matters are handled by people, not by autonomous AI decision-making.

All AI usage complies with applicable privacy and data protection laws.

8. Lawful Basis for Processing Data

We process personal data under one or more of the following lawful bases:

  • Consent — when you voluntarily provide information or request communications
  • Legitimate Interest — to operate church ministries, communicate effectively, care for members and guests, and maintain the safety of our campuses
  • Contractual Necessity — to fulfill registrations, donations, or services you request
  • Legal Obligation — when required by law

9. Communications

We may contact you via email, phone, SMS, RCS, or voice systems for:

  • Information you requested
  • Service, event, and registration communications
  • Pastoral and prayer follow-up
  • Church news and ministry updates

You may opt out of non-essential communications at any time using the instructions provided in any message, or by contacting the church office.

10. Data Sharing & Service Providers

We may use trusted third-party service providers to operate our platforms (e.g., church management software, hosting, analytics, giving processors, messaging and voice providers).

These providers:

  • Access personal data only to perform services on our behalf
  • Are contractually obligated to protect confidentiality
  • Are prohibited from using data for independent marketing purposes

Personal information may also be shared with Burchfield Ministries International, Inc. and its affiliated outreaches for administrative, financial, and ministry-support purposes. We do not sell personal information.

We may disclose information where required by law, by subpoena or court order, or where necessary to protect the safety of any person.

11. Data Security

We implement reasonable administrative, technical, and physical safeguards to protect personal data, including restricted access to member records, screened volunteers in roles with access to children’s information, and secure handling of giving records.

Payment information is processed through secure, PCI-compliant payment providers. BWOC does not store full payment card details on its own servers.

12. International Data Transfers

If you are located outside the United States, your information may be transferred to and processed in the United States. By using our Service, you consent to this transfer.

13. Data Retention

We retain personal data only as long as necessary to fulfill the purposes described in this policy or as required by law. Giving and contribution records are retained as required for tax and corporate recordkeeping. Children’s check-in records are retained only as long as needed for safety, incident, and attendance purposes. Data no longer needed is securely deleted or destroyed.

14. Cookies & Analytics

We use cookies and analytics tools to improve site performance and user experience. You may disable cookies in your browser settings, though some features may be affected.

15. Your Privacy Rights

Under applicable data protection laws (including the CCPA, GDPR, and similar regulations), you may have the right to:

  • Access your personal data
  • Correct inaccurate information
  • Request deletion of data
  • Object to certain processing
  • Request data portability

Parents and legal guardians may request access to, correction of, or deletion of information we hold about their minor child.

Requests may be submitted to the church office at the contact information below. We may verify your identity before fulfilling requests. Certain records — notably contribution records required for tax reporting, and records we are legally obligated to retain — may not be deletable on request.

16. Changes to This Policy

We may update this Privacy Policy from time to time. Updates will be posted on this page with a revised effective date. Continued use of the Service constitutes acceptance of the updated policy.
